Introduction

We are committed to protecting your privacy, and at the same time we endeavour to use any data we collect from you to provide the best possible service. We collect and hold data to facilitate the management of blocks of flats and estates of houses, we need to hold personal information on owners, occupiers, letting agents; and other parties, owning, connected to or living in a block or estate that we are instructed to manage.

The data collected and held includes names, addresses, contact information (email address, telephone numbers), lease terms, title details, any lender details, as well as details concerning any enquiries made or reports of any incidents or matters requiring repair.

There may be occasions when we share details, for example supplying contact details to a contractor to enable a repair. In addition, data may be shared with insurers, directors only linked to the relevant estate or block, solicitors, barristers, debt recovery agents, accountants and regulatory bodies.

The data and information may be held at our offices and on a database run by us. The database is secure and GDPR compliant, further details can be supplied on request.

We have reviewed the lawful basis for processing data and consider that the most appropriate one under Article 6 of the GDPR is that of Contract; holding the necessary data under a management contract to allow us to carry out the services and management tasks set out in that contact.

Website

There is open access to our web site and most of our site can be seen and browsed without disclosing any personal data.

We may use cookies for the sole purpose of the technical operation of some areas of our website. Should cookies apply we do not use them to collect personally identifying information. If you prefer not to allow the use of cookies, you can change the configuration of your browser to either warn you when you receive a cookie, or to automatically reject them. You may find, however, that disabling cookies means certain areas of the site do not function correctly. We do not automatically log personal data nor do we link information automatically logged by other means with personal data about specific individuals.

Data collection and use

We may collect personal data that you volunteer while using our website or conducting a commercial relationship with us.

To keep our databases accurate, we may also collect information about you from other sources, such as public records or bodies, or private organisations. We may use your personal data for research and development, customer administration and marketing.

We do hold or store not any credit or debit card details nor do we share personal details with any third parties.

We do not collect or use personal data for any other purpose other than in the management of property; If we wish to use your personal data for a new purpose, we will ask your permission first.

If you give us personal information about somebody else, such as a colleague or relative, we will assume you have their permission to do so, and their data will also be subject to this policy.

We retain personal data for the duration of the time that we are instructed to manage the estate or block, should our instruction cease we will pass over all data to the new managing agent or directors of the estate or block in a timely manner. We may retain data for up to a maximum of three years.

At no point will be transfer data outside the EEA.

Confidentiality & security

We have implemented security policies, rules and technical measures to protect the personal data that we have under our control from:

Unauthorised access
Improper use or disclosure
Unauthorised modification
Unlawful destruction or accidental loss

All our employees and data processors that have access to, and are associated with, the processing of personal data are obliged to respect the confidentiality of your personal data. We ensure that your personal data will not be disclosed to state institutions and authorities except if required by law or other regulation for access to the personal data we may hold about you.

You are entitled by law to request a copy of any personal data we hold about you.

If requested we will provide to you a readable copy of the personal data that we keep about you within a reasonable time of the request. This subject access request (SAR) will be complied with within one calendar month of the request being received.

To enable us to release any data, we may require proof of your identity. We will provide the information free of charge, however an admin fee may apply in exceptional circumstances. We allow you to challenge the data that we hold about you and, where appropriate, you may have the data:

The services and links of our website

Our website does not enable our visitors to communicate with other visitors or to post information to be accessed by others.

Where applicable, should our website contain links to any third party sites we are not responsible for the privacy policies or content of those sites.

Privacy compliance

Our privacy policy is compliant with the Data Protection Act 1998 UK and General Data Protection Regulation (GDPR). We are committed to a procedure of self-assessment to ensure we continue to comply as necessary.

We reserve the right to make amendments to our privacy policy in the future so that we continue to comply with the law and best practice. If we do so, we will advise you of changes via our website.
